Introduction
The purpose of developing a New Marketing Brochure for Gopher Graphics is to provide current and future clients information regarding the company’s products and services. The brochure will be used specifically for an upcoming Gaming Clubs NSW Gaming Expo to be held on Saturday 10th of October until Tuesday 13th of October 2009. For the past 20 years Gopher Graphics has been assisting Club Managers daily. The company provides an excellent standard of graphic design.
Brief description and rationale for the project
The rationale of the project is to produce a promotional brochure that will advertise the products and services of the design company Gopher Graphics. The scope of the project will range from the determining the text content, the size of the brochure and style of the brochure, the colours to be used, the stock (paper) and finish. The Project is work related and is required as a promotional and marketing communications tool for an up coming Clubs NSW conference to be held on the Gold Coast in October.
The resources that will be required is company knowledge; it’s services and products, determining who the market will be for the promotion, selecting paper samples from a range of paper merchants, determining a print supplier – whether the brochure should be printed offset or digital, and a project design brief and allocation to a specific designer, to create artwork. The aim of the project is to develop a creative and informative advertising piece to be displayed and disbursed to present and future clients. The brochure will require an ultra modern, contemporary look.
An example of a project objective would be to create a marketing brochure that is informative whilst being aesthetically pleasing. The benefits that would arise from the project would be the production of a new marketing product for Gopher Graphics. Gopher Graphics would be the main stakeholder as well as its employers. If the project is successful then it will generate extensive profits for the company as well as a new image.
Feasibility study
To determine if the project will be successful a feasibility study should be put in place to determine if the project is feasible and to ensure that the project is making use of the company’s resources. In creating the Marketing Brochure for Gopher Graphics, determining factors need to be finalised before the project is to take place. The project selection will be based on nonfinancial criteria. The resources to create this brochure are abundant as Gopher Graphics specialises in design and print. The factors that would determine the success and implementation of the brochure will the design concept, printing and finishing strategies, content / copy of the brochure, funding and time.
Project scope
A. Project objective: To develop a marketing brochure for the company Gopher Graphics
The brochure will be used as a tool to market the products and services of Gopher Graphics. The project will target current and future clients of Gopher Graphics and will answer the following questions:
- What is the purpose of the brochure?
- What should it look like?
- How will it be used?
- To whom will it be given to?
- How and when will it be delivered?
Brochure Design
Most small businesses use a brochure to list the products or services they provide and their credentials for providing them. The most important element on the cover is usually the company name. There may be graphics, but they’re usually some form of clip art, which only serves as a break in the copy. As far as the copy inside the brochure is concerned, usually less is more. And the shorter the paragraph, the more likely it will be read. Limited bullets, good use of colour, lots of white space-all these elements enhance your message by making the copy easy to read. A few strong, brief points are far more effective than dozens of weak ones or strong ones hampered by excess verbiage. Brochures can be valuable tools, but only when created well and used properly. Until or unless you have a particular need for that piece of collateral material-and you have a well-organized program for its proper use-save your money and use other techniques.
Hard Copy specifications of the project
- Size: the factors affecting this decision will be based on how much copy and information needs to be expressed in the brochure.
- Stock: there are many varieties of paper stocks and finishing. Depending on the budget, we can determine how well the end product will be paper stocks come in a variety of forms. The basic would be gloss paper, matt paper and bond paper finishes.
- Quantity: This will all be based on how much the printing will cost.
D. Form of print
Offset printing is the most widely used printing method at present. Basically, half of all commercial printing tasks are accomplished by utilizing the offset printing method. Offset printing involves a procedure of creating huge volume print materials wherein images embossed on metal plates are shifted to rubber rollers and then onto print media.
Offset printing has lots of benefits over other methods of printing. One, it creates excellent image quality. In offset printing, the images that are to be seen in the printed matter are initially produced on a computer and then shifted onto metal plates. From the production of books and magazines, offset printing is the motivating force behind all these products. It would be hard to exhaust all the probable applications of offset printing but it would correct to say that offset printing has revolutionized the process of printing.

Costed strategy to shorten the required project time by 20 percent
This costed strategy would focus on efficiency. By producing large volumes of standardized marketing brochures, the company hopes to take full benefit of economies of scale and feel the impacts of curve effects. Maintaining this costed strategy demands a consistent search for reductions of expenses in all areas of the project. The connected distribution plan is to get the most extensive distribution available.
` To be successful, this costed strategy will demand a significant access to raw materials, designs, labour and other essential input. Without one or more of these benefits, the plan can readily be duplicated by rivals. Successful application also benefits from: (1) process designing skills; (2) brochures created for ease of manufacture; (3) sustained access to affordable capital;
(4) close supervision of labour; (5) excellent control of expenses.
In the process of designing and printing of the marketing brochures, there is a need to apply a costed strategy. Initiatives to minimize expenses will spread through the entire production process from designing to the last stage of printing the brochure. Any procedures that do not lead towards reduction of expenses should be outsourced to other organisations with the logic of managing a minimized expenses base.
The costed strategy will involve a low cost base by managing production expenses, maximizing the brochures’ capacity usage, managing the material supply and reducing other expenses especially printing. Mass production, mass distribution, technology, brochure design, people dedicated for low cost production, reduced spending on printing will further assist the team to maintain a low expense base.
Quality management system
In any industry it is normally mentioned that “Quality motivates profitability.” Enhanced profitability is a source of larger income, job opportunities and technological improvement. Nevertheless, this has not been the same scenarios according to past events. In the past it was assumed that some markets chose more affordable products to those with high quality. Majority of researches regarding quality pertain to an accomplished portion, wherever it is located in the procedure. Monitoring, which is what quality assurance normally suggests, is based on past events, since the task is accomplished already. The best manner to think concerning quality is in procedure management. If the procedure is under effective management, monitoring is not needed.
The most accurate perspective of quality in this case is that it will be determined totally by Gopher Graphics and will be based upon the client’s assessment of their total client experience. The client experience is the totality of all the factors that Gopher Graphics will have with the brochures that will be produced, and is by implication a mixture of these. Studies and investigations of trends and problems in quality in the designing and production of marketing brochures emphasize on such ideas as: (1) the nature of the essential differences that happen locally in the stages of production and greater industrial-financial progress; (2) competencies; and (3) potentials to get international clients. Aside from the general perspectives, experts have investigated the aspects and elements having an impact on specific major elements of production progress. Maximizing marketing brochure production procedures by utilizing the real-time total quality management processes to get expenses evaluations is often done nowadays. This can enable the team to do researches immediately to lessen production expenses when developments are still practically cheap.
Nonetheless, there is one aspect of total quality management nowadays that is considered a global concept. In the previous times, when people made actions to enhance total quality management, normally identified as making marketing brochures with higher quality, people did so in exchange for larger expenses, greater work time and greater life cycle. People could not obtain high quality marketing brochures and minimal expenses and shorter life cycle. However, when present total quality management methods are implemented properly to production procedures, all elements of quality – client happiness and lesser mistakes and life cycle and work time/efficiency and total expenses, must all be enhanced or, if one of these elements does not get enhanced, it must at the very least manage consistency and not downfall. The present total quality management standards have the aspect that it establishes and-based advantages, not orbased advantages.
Total quality management processes will be utilized in creating systems to guarantee that the marketing brochures of Gopher Graphics will be produced and created to pass or outdo client needs. These schemes will be created in connection with other fields utilizing a cross-operational method. The quality management process will involve all endeavours from design formulation, processing, printing, implementation and documentation. This reinforced the policies: “fit for design” and “perform it well the first time”. It involves the policies of the quality of materials, brochures and their parts and other processes related to total quality management.
The steps or activities undertaken to ensure superior project team performance
1) Analysing the Project plan well.
Analytical skills are important in the task satisfaction, motivation, and helps build confidence in the project team performance. Analytical skills will help the project team members perform well and provide leadership, understand the job priorities, the competency to work with a team, and among others help them establish the universal viewpoint of the other colleagues.
2) Creating Designs and Creative Thinking
Being creative enables the project team members to control their actions and efforts along with the implementation of their company objectives and organizational structure in such a way that there is a provision of the details of tasks and the implementation of consistent policies established on creative skills.
3) Critical Reasoning
The critical reasoning skill of the project team members will help them establish the success paradigm. Success paradigm is based on the team member’s understanding of what is required for them to succeed. Moreover, this paradigm will help the project team members cope with whatever changes and challenges that might turn up in the uncertain working environment.
4) Excellent Decision Making
Along with the presence of creative and analytical skills, the project team members desire to move onward to the accomplishment of the marketing brochure. Consequently, in order to attain such position, they have to impose their excellent decision making skills but not in a forceful manner. Rather it has to be more subtle and implied. The recognition given by companies reinforces such ideas and decision making in their team.
Monitoring and evaluation system
When the project team institutes an impression of free and open evaluation process to their project, they are expected to become satisfied. Consequently, if the client builds an impression that mistakes are not allowed, it will be seen that the project team members will be less than honest in reporting progress. At present, it is essential to have an effective evaluation during project groundwork and implementation, which would result to increase of innumerable quandaries linked to the project management. The project team members should portray an honest and tedious process of evaluating information wherein they help improve and impart a stimulating foresight, demonstrate unadulterated involvement and value for the critical information they are evaluating and constantly empower themselves and the workforce.
When the project team encourages effective evaluation methods they can expect their team members to be (1) clear/transparent in all evaluation processes (2) concise, meaning both ends should choose the best words (3) accurate, both sides should be confident that the evaluation methods they are deliberating is correct, up-to-date and justified (4) complete, there should be no unnecessary information that should be articulated, and (5) polite, which is not just good manners but being capable of handling disagreements in a civil manner.
Form of project closure taken
The project closure in this case will entail providing over the marketing brochures to Gopher Graphics, giving the documentation to the company, ending applicable contracts, releasing team members and equipment, and informing the company of the end of the project.
After the project has ended, a Post Implementation Assessment will be finished to identify the project’s success and determine the lessons learned.
The first step that will be done when ending a project is to establish a Project Closure Report. It is extremely significant that the project team list every task needed to end the project within the Project Closure report, to guarantee that project closure is finished accordingly and effectively. Once the report has been acknowledged by Gopher Graphics, the closure activities indicated in the report will be implemented. Between one and three months after the project has been ended and Gopher Graphics has started to feel the advantages provided by the project, the Post Implementation Assessment will be finished. This assessment will enable Gopher Graphics to determine the level of success of the project and state any lessons learned for future projects.
Potential obstacles to project success
One of the potential obstacles to project success could be the mismatch of expectations between the project team and Gopher Graphics. When there would be mismatch of expectations, then there were delays in the comprehension of both sides. Later on, the miscommunication would become apparent with the manner each side manages the procedure of development. This lack of communication and proper understanding will be an obstacle for project success.
Anotherconstraint would be the possible negative response of the project team members to the developments and cost deduction strategies that the directors of Gopher Graphics would want to implement. The training process, the transition period and the stress of cost deduction would put on a state of uneasiness due to the fact that the project team members could be moved out of their comfortable areas. The environment of the project team may not have a positive attitude regarding the cost-cutting measures of Gopher Graphics. The project team members could resist the developments and changes that would be done by the company.
Recommendations for the project
The success of this project will depend on how the project team members will be able to manage the resources and procedures in achieving for progress and development. The project team members should have impeccable subject knowledge and understanding for them to be able to carry out their responsibilities with integrity and competence. The project team members are also part of the people who make the decisions for Gopher Graphics and should have a keen eye on knowing what’s good for the company or not. There are three important reasons why excellent project knowledge and understanding among the project team members is needed.
First, it will help them establish and apply the basic objectives and policies of the company. Second, it will help them ask and discern questions and, lastly, it will help the project team in selecting the best possible solutions. Impeccable project knowledge and understanding can help the project team to administer the whole functions daily to guarantee that every team member is compensated well on their type of work, shareholders are provided with the fair share based on the objectives of the company and objectives are attained. If these can be attained, then the project can be given a go signal to get started.
